Cancellation Policy
All cancellations and changes must be made to us in writing prior to being confirmed. For group bookings, the cancellation conditions apply to each individual traveler in the booking, and not the entire booking. Refunds, if applicable, will only be made to the person named on the booking payment receipt, unless otherwise agreed upon in writing by all travelers listed in the booking. After the deposit has been paid, the following cancellation penalties and refunds will apply:
Deposit Policy
A deposit of R3 500 (International Trips) and/or R1 500 (local trips) per traveler is required to secure and confirm your booking. The deposit forms part of your total payment quoted. Provided that bookings to third-party service providers have not been made, the deposit is transferable to another trip and transferable to another person. For the transfer to be initiated, the cancellation fee will first be applied. If third party service providers have been paid, the first part of this clause above will automatically be voided. The cancellation policy prescribed in clause 1 will take effect.
The deposit is payable by the customer in full, on the due dates indicated in the payment schedule provided during consultation. The booking will only be confirmed, once the deposit has been paid in full, for the entire invoice.
Third Party Service Providers
When you book travel through Sun, Sand and Beyond (Pty) Ltd, you enter into two agreements. The first is this agreement, between you and Sun, Sand and Beyond (Pty) Ltd registration 2020/164350/07. The second agreement includes third-party service providers such as airlines, coach operators, transport and transfer operators, tour operators, accommodation, hotels, car hire, tour guides, and any other travel arrangements, products, or services, who all have their own terms and conditions applicable to your travel. When you accept these booking terms, you also accept and agree to be bound by the third-party service provider agreement. If there are discrepancies between the booking terms defined by Sun, Sand and Beyond (Pty) Ltd, and the third-party service provider agreement, the third-party service provider agreement will take precedence. The third-party service provider(s) will be identified on your quote or travel documents or travel vouchers and their third-party service provider agreement(s) applicable to your booking.
Booking Terms and Conditions
By confirming and making any bookings, you agree to comply with these Booking Terms and Conditions. These Booking Terms and Conditions apply to any bookings you make with us (in-person, over the phone, by WhatsApp, verbally, by email, via social media direct messaging services). For group bookings, we will rely on the authority of the person making the booking to act on behalf of any other travelers on the booking (regardless of whether other travelers have made separate payments) and that person will bind all such travelers to these Booking Terms and Conditions.
Payment Policy
All payments must be paid as agreed, based on the type of payment plan selected. For group bookings, payments to third-party service providers will be made once all travelers have made the required payments, as some of the bookings, such as air fare will be subject to availability and price fluctuations. The onus is on the person making the booking to ensure that payments that are due are made on time.
If your booking is made within 8 weeks (or less) of departure, the total cost of your travel arrangements must be paid in full at the time of booking, within 24 hours of the time the invoice is issued. Failure to pay on time will result in the automatic cancellation of your booking. A new quote will be issued, subject to price changes, service availability and currency fluctuations, the new quote may differ from the initial quote.
Airfare
Airfares are subject to the prices and conditions quoted by the airlines and cannot be guaranteed by Sun, Sand and Beyond (Pty) Ltd. The costs associated with airfare and travel arrangements are not always stable and can change due to price changes and currency fluctuations. It is impossible to predict these movements in advance. When you book a package through us, any additional surcharges imposed by airlines, and/or price increases accumulated before the full flight amount is paid to Sun, Sand and Beyond (Pty) Ltd, will apply and be liable to you. Surcharges may be imposed to cover increases in transportation costs, including the costs of fuel and security charges, taxes, or fees chargeable for services such as landing taxes or embarkation or disembarkation fees at ports and airports, or exchange rates applied to the particular package. Peak season surcharges and block out dates may also apply. For group bookings, if the group numbers deviate from the minimum number required for the booking, Sun, Sand and Beyond (Pty) Ltd reserves the right to re-cost the price and raise a surcharge. Should any client refuse to accept and pay such a surcharge, it may result in cancellation of the booking. The client will be liable to the cancellation policies of third-party service providers who have already been paid for services connected to your travel, at the time of cancellation. All flights once booked, paid for, and confirmed are non-refundable.
Travel Insurance
Travel insurance is essential. The client is advised to take out adequate travel insurance cover to cover unexpected occurrences such as cancellation due to illness, accident or injury, personal accident and personal liability, loss of or damage to baggage and sports equipment (note that this is not an exhaustive list). Sun, Sand and Beyond (Pty) Ltd will not be responsible or liable if the client fails to take adequate insurance cover at all. Sun, Sand and Beyond (Pty) Ltd shall not be liable for your election not to obtain insurance cover, nor shall we be liable to you for any denial of any claim by a travel insurer.
Responsibility
Sun, Sand and Beyond (Pty) Ltd acts as a travel agent only for local and international ground operators, airlines, transport operators and accordingly accepts no liability whatsoever for any loss, damage, injury, accident, delay, or any other irregularity howsoever arising. Sun, Sand and Beyond (Pty) Ltd will make every effort to ensure that all services related to your travel and itinerary will be carried out as specified in the most efficient and effective way possible
Impossibility of Performance
In certain circumstances beyond the reasonable control of any of the parties, it may be necessary to cancel your travel due to an event which makes it impossible. This includes, but is not limited to: strikes, terrorism, war, invasion, act of foreign enemy, hostilities or warlike operations (whether war be declared or not), civil war, mutiny, rebellion, revolution, insurrection, military or usurped power, pandemic or epidemic outbreak, confiscation or destruction or requisition by order of any government or any public authority or any other act of state, including prevention or denial of trade, sanctions or closure of borders, denial of the use or unavailability of any railway, port, airport, shipping service or other means of public transport, and any similar event beyond the reasonable control of the parties. If the trip is cancelled due to unexpected events, the cost will be liable to the client.
Passport , Visas and Health Requirements
It is entirely the client’s duty to ensure that all passports and visas are current, valid, obtained on time and that any vaccinations, inoculations, prophylactics (e.g., for malaria) and the like, where required, have been obtained. Passports must be valid for 6 months after return to South Africa. It is the client's duty to familiarize him/herself with the inherent dangers of and mental and/or physical condition required for the proposed travel arrangements. The client must ensure that the details supplied to Sun, Sand and Beyond align with those details shown on their passport for international travel and ID documents for local travel.
In destinations where specific vaccinations and health certificates are mandatory, it is the client’s duty to ensure that they meet the health requirements of the destination, including any costs associated with meeting such requirements. Any medical emergencies arising while at the destination, are liable to the travel insurance taken out by the client. Sun, Sand and Beyond (Pty) Ltd shall not be liable for any medical emergencies arising while on holiday, including transit to the airport within South Africa and at any destination within South Africa.
Travel Vouchers
Travel vouchers, itineraries, etc. are only prepared on receipt of full payment of the package price and will be ready 3-4 working days after payment has been received. It is important that you check all details of your travel documents (including your itinerary) before leaving South Africa. If there are any inaccuracies on any of your travel documents, or should you have any further queries, you should contact your travel agent immediately. Sun, Sand and Beyond will not be liable for any delay and/or loss occasioned as a result of any inaccuracies on any travel documents once you are in receipt thereof and you have left South Africa.
